Behind the Scenes at a Live Event

This week we are taking you behind the green curtain so you can see what really goes into producing live events! Last week our team took to the ICC in Birmingham for the Annual Conference of one of biggest clients, Travelodge. Over 1,000 delegates came together from all corners of the country for morning and afternoon conference sessions followed by a glamorous evening event with a drinks reception, gala dinner and awards ceremony. From a very early start setting up the staging to a very late night arranging lights and sound for the disco – here’s what went on behind the scenes. A day in the life of HGA!

After a very early start setting up our venue, the ICC in Birmingham, we are poised and ready for over 1,000 delegates to arrive.

Backstage our crew are setting up with all of their equipment – from autocues to presentations and from lights to sound, we are ready for kick off!

Out in the audience, our Video Producers James and Martin get their cameras ready to roll…

And we’re off! The morning conference begins with every speaker prepped and ready to go. The crowd are in great spirits and key messages are delivered successfully with everyone on the same page about the year ahead.

In the darkness backstage, Jon on the autocue doesn’t miss a beat.

Once the afternoon conference begins we work alongside caterers, venue crew and the centrepiece team to transform the main hall from a lunchtime session to glamorous evening party. The ICC is one of our favourite versatile venues to work with, managing both conferences and evening awards ceremonies in one day with ease (and a lot of manpower!).

There are a lot of elements to bring together but the space is really beginning to take shape by 3pm!

And by 6pm we are ready for round two. Live music group Wandering Hands are tuning up as we prepare for guests to arrive for the drinks reception.

By 7pm all our tech and equipment has been set up ready for the awards ceremony, dinner and party. It’s time to use ‘the voice of God’ and ask everyone to take their seats. The show is about to begin!

The show is a success! With lots of awards to get through and a three course dinner to serve all the planning is paying off.

And we are done! By the early hours, it is time to dismantle the set, pack everything away and get ourselves to bed! It has been an epic 24hours as another fantastic event goes off without a hitch!
